When enrolling a student, the person enrolling the student agrees to abide by The School at AIPA’s conditions of enrolment.
Enrolment.
All students must complete an enrolment form prior to attending a class. Students must submit a new enrolment form once a year. No exceptions. Students enrol for a full term. Credit will not be given to students who decide not to continue with classes mid-term as enrolment numbers dictate studio allocation and teacher numbers which cannot be changed mid-term. If you are aware your child will be unable to attend for more than 4 weeks due to serious illness or injury, consideration will be given to credit all or part of the term. Requests need to be put in writing to theschool@aipa.com.au and accompanied by the appropriate notice. Medical certificate, letter from medical practioners etc.
Credit is not given for students who miss classes due to family holidays, school camps, birthday parties etc.
All students are automatically re enrolled for following term unless advised IN WRITING two weeks prior to classes recommencing. Please collect a discontinuation form from the admin office or email accounts@aipa.com.au if you wish to make any changes. From 2018, any class changes must be made in writing.

Please ensure your personal details are kept up to date at all times with our office, especially emergency contacts.
Payment of Fees
Term fees are due at the beginning of each term. The School at AIPA will provide parents with an invoice at the start of each term that must be paid in full by their second week of classes. Families needing a payment plan (for fit & fun or Unlimited classes) may apply IN WRITING to Mary (accounts@aipa.com.au) and she will make the decision and apply it to your account.
Students starting classes mid-term will have their fees prorated. This invoice must be paid in full on enrolment (after their trial).
Missed Classes
The School at AIPA does not offer make up classes or credit students who miss classes, except in extreme circumstances. If you would like to be considered, please contact Mary IN WRITING and a decision will be made. You will be notified either way.
Cancelled Classes
The School at AIPA hates to cancel classes and we appreciate how difficult this is when we are forced to do it. Occasionally staff are held up on their way to the studios and simply cannot provide enough notice for us to get a replacement. In these situations we do all we can to get a replacement teacher within that discipline or substitute a comparable class. If neither of these options are possible we will make up the missed class and offer you an addition trial class in another discipline as a sign of good will. If the class cannot be made up, you will be offered a credit note to be used towards classes or a holiday workshop.
Trial Classes
Students new to the school at AIPA are offered one commitment free trial class. Should a student decide not to continue after the trial class, no payment is due. Should a student decide to continue, the trial class will be included in the term fees for payment.
Unfortunately we are unable to offer free trials for our after school Fit and Fun programme should pick up be necessary. If students would like to trial multiple classes, a cap of three classes will be applied. Classes trialled after that must be paid for prior to the student attending.
Open Classes
Open Classes are held once a term in first semester. Parents are unable to view classes at any other time during the term (with the exception of new students 5 years or under who may be helped to settle in to class during the first few weeks). All visitors must sign in and out when staying on the premises.
Uniform
Students are required to wear a uniform for all classes at The School at AIPA. Students must be in full uniform for every class and groomed appropriately. Our uniform and grooming policy is supplied upon enrolment and can be found on this website on the “classes” tab.
Illness or Injury
If a student becomes ill or injured whilst at classes, the office will contact parents or the primary care giver immediately. Please advise if a student has a medical complaint or history on your enrolment form. This is essential so that we can provide adequate care. If you do not disclose an condition (asthma, an allergy, this could cause a life threatening situation. If a student is recovering from an injury that prevents them from taking part in components of a class, please ensure the office is notified prior to the class commencing and any appropriate documentation is provided.
Emergencies
In the case of an emergency the school at AIPA will launch our emergency plan (see policy document 2017). A first-aid qualified staff member will assess the situation and make a decision as to what action to take. Our policy states, if in doubt, call an ambulance and allow their officers to make a decision. Parents will be contacted as soon as is physically possible and will be a priority, just behind the student’s welfare and treatment. If a serious accident occurs, all parents whose children were present will be notified in writing so that you understand what your child witnessed and how to support them and help them understand.
Behaviour at The School at AIPA – Students
The School at AIPA prides itself on being an inclusive and welcoming environment to all students. We offer a safe and nurturing environment for students to hone their skills. The School at AIPA will not abide bullying of any kind and enrolled students must conduct themselves in a caring and professional manner whilst on the premises. The School at AIPA reserves the right to cancel enrolment of any student (or parent of student) involved in verbal abuse, intimidation, discrimination, harassment or physical violence towards another student, parent or staff member.
Behaviour at The School at AIPA – Parents, guardians, grandparents, carers.
The School at AIPA is about nurturing students and allowing them to explore what they love to do. Unfortunately this industry, like many others, is prone to ‘overzealous’, ‘pushy’ stage parents. We need to state here that if you are one of these personalities, please do not enrol your child at The School at AIPA, as your behaviour simply will not be tolerated. No child is that much of an asset to a school that the admin staff, teachers, management or other parents and students are threatened or need to suffer your selfish and childlike behaviour. The Performing Arts is called “Show business”. Students need to ‘show us’ what they can do and parts, solos etc are assigned accordingly. A parent standing in the foyer or outside the studios and mouthing off, makes everyone miserable. No one gains from this behavious. You may think that you are being heard, but you are simply making an example of yourself. Parents who push ultimately destroy something that their child was passionate about.
If you enrol your child with us, you need to trust the management team and the teaching staff. There are open days you can come to. There are concerts where you can watch your child perform. We have an industry visit each semester, where the students are looked at for external assessment. You will receive feedback and can make an appointment once a semester to discuss your child’s development, if you feel it is necessary. Written reports go home at the end of each semester.

Food and Water
No food of any kind is allowed in our studios (only water). Food must be consumed in our Foyer and break areas, if and when students are on break. Students are encouraged to bring their water bottles to every class. Please note AIPA is an alcohol free, tobacco free, NUT free, and energy drink free environment.
Performance Class Commitment
Students enrolled in our performance classes (marked with an * on our timetable), commit to performing at our Vocal Night (T2), Annual Drama Night (T3) and Concert (T4). Classes for the 6 weeks prior to these performances are compulsory. Please put these dates in your diary. Advertising and Promotional Material
The School at AIPA may from time to time take photographs or video of students during class or performance time for promotional use, newsletters, the website or for the studio walls. Please advise upon enrolment if you do not agree to your child’s image being used.
Communication
The School at AIPA office communicates with parents via email through our Wednesday Fortnighly Newsletter and Performance Notes as required. Information will be emailed to parents.
